A milestone birthday, three generations, one list.

A 40th, a 50th, a 60th or an 80th often brings three generations to one table. Here is when to send what, how to keep a surprise, and how to list everyone, with the dates the free runbook uses.

When to send what.

The free runbook sets the dates by the size of the guest list. Your own runbook counts them back from your date.

Final numbers go to the caterer and the venue. With 150 guests or more, send a save the date about six months before. With 21 to 149, send one about ten weeks before if guests travel to come. With 20 or fewer, the invitation is enough.

If it is a surprise.

  • Keep the guest of honor off the guest list, and off every message about the party.
  • Name one person guests reply to: you, or whoever is hosting with you.
  • Say it is a surprise on the invitation itself, so no guest mentions it by accident.
  • Give guests an arrival time well before the guest of honor’s, and ask one person they trust to bring them.

One list for every generation.

  • Invite by household, so one person can answer for everyone in it. An older guest’s household can be answered by whoever in the family looks after replies.
  • List children under their parents’ household, and decide now whether they are invited: it changes the count and the wording of the invitation.
  • Ask once, when guests reply: yes or no for each named guest, a plus-one’s name if you offered one, allergies and dietary needs and whether you may share them with the caterer, and anything that would make the day easier, such as step-free access.
  • Make replying easy: one link or one number, and the reply date written on the invitation as well as the website.
