The tenth annual Midnight House gala — 320 guests, 32 sponsored tables, and a fundraising room where the seating chart is the politics. Evorrah ran the guest operation so the foundation could run the mission.
What we handled
The whole flow
From the first brief to arrival.
The brief
A decade of Midnight House. Ten designs in black and gold, a room sold by the table, and a hard rule from the director: no clipboard at the door of a black-tie gala.
Tables as invitations
Each sponsor received a table’s worth of invitations to allocate — their guests, our system. Sponsors filled their own seats through the portal; the foundation just watched the room assemble.
The chase, at scale
Unfilled sponsor seats flagged early and reminded automatically. RSVP completion crossed 90% two weeks ahead of the previous year’s gala.
A table changes hands
A sponsor withdrew; their table re-sold in a day. Ten place cards reprinted, the donor wall revised, seating politics rebalanced — the director approved one map and slept.
320 names, no clipboard
QR check-in cleared arrivals in seconds each. Live attendance on the director’s phone; three no-shows re-seated before the first course.
The tenth, measured
Attendance, response and table analytics delivered to the board — the first Midnight House with complete guest intelligence, ready for year eleven.
